Any business owner asks before investing: "What will I get out of this and when will it pay off?". CRM implementation is no exception. Let's figure out how to calculate the Return on Investment (ROI) from an automation system.
What constitutes the "profit" from a CRM?
The profit from a CRM is not just a direct increase in sales. It consists of many factors, both obvious and hidden:
- Increased conversion: Because no lead is lost, and every client receives a call or letter on time, the percentage of converting leads into sales increases.
- Employee time savings: Automating routine tasks (creating documents, sending emails, setting tasks) frees up dozens of hours that can be spent on sales.
- Reduced customer churn: Systematic work, reminders, and a personalized approach increase loyalty. Retaining an old client is always cheaper than acquiring a new one.
- Increased average check: A CRM helps with up-selling and cross-selling, offering clients the right products at the right time.
A simple formula for calculating ROI
The simplest formula looks like this:
ROI (%) = ((Profit from implementation - Cost of implementation) / Cost of implementation) * 100%
Step 1: Calculate the cost of implementation
This includes:
- Cost of CRM licenses (per year).
- Cost of integrator services (setup, training).
- Time your employees spend on training and transition.
Example: Licenses (25,000 UAH) + Services (40,000 UAH) = 65,000 UAH.
Step 2: Calculate the profit from implementation (per year)
This requires your real numbers, but the logic is as follows:
- Sales growth: If your conversion rate increased by 5%, calculate how much additional profit that is.
- Time savings: If 3 managers save 5 hours a week each, that's 15 hours. Multiply by the cost of their work hour. (15 hours * 4 weeks * 12 months * 200 UAH/hour = 144,000 UAH in savings).
- Reduced churn: If you retained an additional 10 clients who, on average, bring in 5,000 UAH of profit, that's +50,000 UAH.
Try calculating your own metrics with our interactive calculator.
Example: Sales growth (100,000 UAH) + Time savings (144,000 UAH) + Customer retention (50,000 UAH) = 294,000 UAH.
Step 3: Calculate ROI
ROI = ((294,000 - 65,000) / 65,000) * 100% = 352%
This means that every hryvnia invested in the CRM brought you 3.52 hryvnias of net profit per year.
Conclusion
Calculating ROI is a powerful tool that turns the abstract idea of "automation" into concrete financial indicators. Of course, these calculations are approximate, but they clearly show that a properly implemented CRM system is one of the most profitable investment projects for a business.
