CRM FOR LEARNING CENTERS

Planfix for online schools and learning centers

Students, groups, payments, schedule, homework, Zoom and messenger integrations.

Free consultation

5 pain points of a learning center

Lost leads

Instagram, site, referrals — leads scattered. Manager forgets to call back, lead goes cold.

Student tracking

Who came to a trial, who paid, who attended 5 of 10 classes — all in Excel.

Payments

Manual payment control: paid or not? Lost revenue.

Parent communication

Newsletters about holidays, payments, concerts — copy into each messenger. Time loss.

Performance analysis

Which course is more profitable? Which teacher retains most students? — Unknown.

How Planfix + n8n solves it

Lead pipeline

Instagram inquiry → bot → Planfix. Auto-reminder to manager: «call back in 10 min».

Student card

Parent contacts, group, payments, attendance, progress — all in one card.

Payment control

Monobank/LiqPay/WayForPay integration via n8n. Payment → auto-status «Paid».

Mass communication

Segments: «Not paid this month», «Missed 3 classes» → auto-mailout in Telegram/Viber.

Analytics

Course profit dashboards, student acquisition, teacher retention.

What exactly we set up for a learning centre

In education money leaks in two places: the lead that never reached a trial class, and the student who quietly stopped coming. The system is built around those two points.

Student card

Course, group, schedule, payments, attendance and the history of communication with parents in one place instead of the administrator's notebook.

Groups and schedule

Classes, teachers, rooms or online links. You see where seats are free and where it is time to open a new group.

Payments and packages

How many classes are paid, how many attended, when the package expires. Payment reminders go out automatically rather than when someone remembers.

Attendance

A teacher marks it in under a minute, and the same data feeds payroll and the signal about a student who stopped coming.

Churn signal

Two consecutive misses or an unused package creates a task to reach out — the cheapest moment to retain a student is before they finally decide to leave.

Pipeline from Instagram and the website

Enquiry, call, trial class, payment, with reminders so a lead does not die between "interesting" and "I will think about it".

Communication with parents

Schedule, payment and news messages with history in the card, instead of the administrator's personal chats.

Teachers

Load, classes delivered, rates and payout calculation — transparent for both sides.

Centre analytics

Trial-to-sale conversion, group occupancy, churn, revenue per student — the numbers behind decisions about new courses.

How the implementation goes

1. Audit

How groups, payments and attendance are handled today, where students come from and what hurts most.

2. Model

Courses, groups, package types, administrator and teacher roles, reminder rules.

3. Setup and migration

Students, groups, schedule, payments. Active records move; archives on request.

4. Launch

We train administrators and teachers on the real schedule and tune the setup during the first weeks.

Frequently asked questions

Teachers do not want to mark anything. Is it mandatory?

Marking attendance is one action per class from a phone. Without it neither payroll nor the churn signal works, so it is the minimum worth insisting on. Everything else is handled by the administrator.

Our payments live in a notebook and in someone's head. Can that be migrated?

Yes, and this is usually where the money is found: unclosed packages, forgotten debts, students attending for free since last month. Migrating active payments takes a few days.

Can payment reminders be automatic?

Yes, and it is the fastest payback in the whole system. The reminder follows a rule — N days before a package expires, in the messenger the person actually reads.

We run both offline and online groups. Can both work here?

Yes, the only difference is a link instead of a room. Schedule, payments and attendance behave the same.

How long does the launch take?

Usually two to three weeks. The longest part is not configuration but migrating current students and payments — manual work we do together with your administrator.
