Common Problems for Online Stores

  • Orders from different sources (website, marketplaces, Instagram) are processed manually.
  • A lot of time is spent on creating shipping labels and tracking parcels.
  • There is no single customer base and order history.
  • It's difficult to analyze which sales channel is the most effective.

How We Solve This

Order Centralization

We implement a CRM (KeyCRM, KeepinCRM) that gathers all orders in one place.

Delivery Automation

We set up integration with Nova Poshta and other services to generate shipping labels in one click.

Unified Customer Base

All customer data and order history are stored in the CRM, accessible to the entire team.

Messenger Integration

We connect Instagram, Telegram, Viber so you don't miss a single message.

Inventory Management

We set up tracking of products, stock levels, and reserves to avoid errors.

Sales Analytics

You get transparent reports on all sales channels to make the right decisions.

What exactly we set up for an online store

In a product business the system lives or dies on one question: do the stock numbers match. Everything else is built on top of that.

Orders from every channel in one window

Website, marketplaces, OLX, Instagram, messengers — everything lands in one list instead of five tabs, so the manager stops switching contexts.

One stock across all storefronts

Sold on one marketplace and the stock drops everywhere. This removes the most expensive mistake: selling what you do not have.

Delivery and waybills

The waybill is created from the order card, the status updates itself and the number goes to the buyer. The carrier cabinet is never opened.

Cash on delivery under control

You see which waybills have paid out and which are stuck, with a dedicated list and reminders instead of a month-end statement review.

Returns and refusals

A refused parcel creates a task and the goods return to stock instead of disappearing until the next inventory.

Fiscal receipts

The receipt is issued together with the status change, without a separate ritual.

Communication inside the order

Correspondence, calls and messages are stored in the order, so a new manager sees the context instead of asking what happened.

Repeat sales

Purchase history per customer and segments for campaigns. The cheapest sale is to someone you already sold to.

Analytics that changes decisions

Margin by product and channel, order processing speed, cash-on-delivery redemption rate, stock that does not move.

How the implementation goes

1. Channel and data audit

List of marketplaces, order volume, state of the catalogue and stock. The most common finding is that marketplace SKUs do not match yours.

2. Product mapping

Matching the catalogue by SKU — the longest stage and the one without which stock sync will misbehave.

3. Connecting channels

Orders, statuses, delivery, receipts. We launch on one marketplace, confirm the numbers match and add the rest.

4. Training and go-live

Managers work on real orders while we stay close for the first days and tune the setup to your flow.

Frequently asked questions

We have orders from five channels. Do they all connect at once?

Technically yes, but we recommend starting with the one that brings the most orders. It surfaces every catalogue and status problem, after which the remaining channels connect faster and cheaper.

What if marketplace SKUs do not match ours?

We build a mapping table before launch. It is routine but mandatory: without it stock diverges and you start selling what you do not have — exactly the failure the project exists to prevent.

Can we skip stock tracking and only collect orders?

Yes, and that is the fastest start. Stock is added as a second step once orders flow reliably. But if you sell from a warehouse you will need it eventually, otherwise half the value is lost.

How long does the launch take?

The first channel with delivery usually takes one to two weeks. The timeline is set not by technology but by the state of your data: a clean catalogue halves it.

We already have a CRM nobody uses. How will this be different?

Usually the reason is not the system but that working in it is slower than working in a messenger. We start by making it faster: fewer fields, autofill, one-click actions. Without that no implementation survives.
