Planfix and monday.com often end up on the same shortlist, although their philosophies differ. At INTEGRO we are official partners of both Planfix and monday.com — we earn on implementation, not on dragging you into a specific product. So this comparison has no default winner: we break down who each system fits.

The short version: two philosophies

monday.com is a Work OS: a visual platform for managing team work. Boards, timelines, kanbans, dashboards. Its strength is a fast start and visual transparency — the team sees project status without training.

Planfix is a business-process builder with CRM inside. Its strength is customisation depth: fields, statuses, pipelines, permissions and automation scenarios configured for your unique process without code.

1. Time to launch

monday.com: the team starts working the day you register. Ready templates for projects, marketing, HR, development. The intuitive UI is the main reason for monday's global popularity.

Planfix: looks empty out of the box. Without configured processes it is hard to use — that is the price of flexibility. With an integrator, launch takes 2-4 weeks.

Winner: monday.com — when you need results "yesterday".

2. Customisation depth

monday.com: customisation within the board builder. Complex multi-stage processes with branching, approvals and cross-department dependencies hit platform limits.

Planfix: effectively a no-code platform. Custom entities, task relations, multi-level processes, separate interfaces per role. We have built manufacturing, legal and service-centre processes on Planfix — where monday ends, Planfix is just getting started.

Winner: Planfix — for complex processes.

3. CRM capabilities

monday.com: CRM is a separate paid product (monday CRM). It is enough for a classic sales pipeline; deep communication work (email, messengers, telephony in one window) requires marketplace apps.

Planfix: CRM is built into the platform. Omnichannel out of the box: email, Telegram, Viber bot and website forms land in a single client feed. For businesses where selling means lots of correspondence, this is decisive.

Winner: Planfix — for communication-heavy sales.

4. Pricing

monday.com: plans from ≈$9-12/user/month (Basic/Standard, annual billing), Pro ≈$19. Minimum 3 seats. The CRM product is billed separately. A realistic budget for a 10-person team with Standard + CRM starts around ≈$200/month.

Planfix: ≈$5/user/month on the popular tier, with a free plan for up to 5 users. A 10-person team runs at ≈$50/month with all modules included.

Winner: Planfix — 2-4x cheaper per team.

5. Automations and integrations

monday.com: built-in automations are simple and pleasant ("when status changes — assign owner"), but execution counts are capped by plan. No out-of-the-box integrations with Ukrainian services (Nova Poshta, Monobank, Checkbox).

Planfix: native scenarios plus an open REST API. We connect Ukrainian services via n8n: Nova Poshta, Monobank, Checkbox, Vchasno, OpenDataBot — with no operation limits.

Note: the n8n stack works with both systems — monday.com also has a solid API. But Ukrainian integrations for monday must be built from scratch, while for Planfix we already have them.

Winner: Planfix — for the Ukrainian service stack.

6. Visualisation and reporting

monday.com: best-in-class dashboards. Gantt charts, team workload, project portfolios — clear to any executive at first glance.

Planfix: reports are flexible and powerful but must be built. Fewer ready "wow dashboards" — beauty comes with configuration.

Winner: monday.com.

So which one?

Choose monday.com if: you run a project team (marketing, development, design, HR), processes are fairly standard, visual transparency and fast start matter, and licence budget is not critical.

Choose Planfix if: your processes are non-standard (manufacturing, services, legal, complex sales), you handle lots of client communication across channels, you need Ukrainian integrations and per-user price matters.

Still unsure — book a free process audit: we recommend the system that fits your case, not our margin, since we implement both.

Frequently asked questions

Can monday.com and Planfix be combined in one company?

Yes, and it is a working scenario: for example, marketing runs projects in monday.com while sales works in Planfix CRM. We build synchronisation between the systems via n8n and both platforms' open APIs.

Which is cheaper: monday.com or Planfix?

Planfix. A 10-person team costs about $50/month on Planfix, while monday.com with the Standard plan plus the CRM product starts around $200/month. Planfix also has a free plan for up to 5 users.

Does monday.com integrate with Nova Poshta or Monobank?

Not out of the box. Both integrations can be built via n8n and APIs, but that is custom development. For Planfix we already have ready n8n scenarios for Nova Poshta, Monobank, Checkbox and other Ukrainian services.

Which system should a sales department choose?

If selling involves heavy communication (email, messengers, calls) — Planfix with built-in omnichannel. If you need a simple visual pipeline without deep customisation, monday CRM will also do the job.
